We are seeking a Receptionist to join our Administrative Department in our Boston, MA office. Due to the nature of this position, this is a full-time in office position.

As a Receptionist/Administrative Support employee, you will support the internal and external efforts of our staff and clients. We are looking for a person with strong interpersonal skills and a positive work ethic to join our administrative team. The ideal candidate for this role has extensive administrative experience in office operations, enjoys meeting and greeting clients and employees in person or over the phone, and thrives in a fast-paced environment.

Job Responsibilities

  • Answer and direct incoming phone calls in a polite, professional, and friendly manner, including welcoming clients and guests.
  • Maintain reception area, conference rooms, and all common areas.
  • Assist with facilitating day-to-day processes within the office. (Including scanning, web-based file transfers (LeapFILE, portal), and conference room & video setup.
  • Sort and distribute mail.
  • Organizing, scanning, and logging in client tax documents.
  • Sending documents/returns to SurePrep/ScanVerify for outside preparation.
  • Preparing and finalizing tax engagement letters.
  • E-Filing tax returns.
  • Responding to Tax Department requests for various admin tasks (finalizing correspondence, sending returns or documents to clients, special projects, etc.).
  • Ability to work independently.
  • Assist with other projects, as needed.

Job Qualifications

  • 2-5 years in an administrative capacity required
  • Intermediate to Advanced proficiency with all Microsoft applications, and Google Suite, including the ability to work in and learn industry-based software applications
  • Highly detail oriented, excellent grammar and spelling
  • Ability to communicate effectively
  • Highest level of confidentiality
  • Strong work ethic and ability to operate in a fast-paced seasonal environment
  • Willingness to work overtime as needed, specifically during tax season

We are looking for a candidate to work full time. Normal hours are Monday through Friday 8:00 am to 5:00 pm, with expected overtime during our peak seasons. These periods require increasing normal weekly hours, which will include nights and weekends.
